The
CSS Hotel Property Management Software can be efficiently
utilized by Resorts, Motels, Lodges, Hotels and Resort
Condominiums including: Rental Management, Timeshare and fractional Ownership. Efficient screen flow is the key;
initial screens contain all standard fields required by
any type of property. Additional data collection, as
required by full service hotels or resort condominiums,
can be added to easily accessed pop-up half screens as
needed.
CSS
Hotel Systems had entered the hospitality and lodging
marketplace in the late '70s with a Corporate
Accounting System designed to handle the unique
requirements of hotel management. These Applications
were followed by Back
Office Accounting at the property level, then a Front
Office System, fully integrated to the Accounting Systems,
was released in 1985. This fulfilled the CSS definition
of a true and complete Property Management System. The CSS Resort
Condominium Management Applications were first installed
in 1988, and still operate at that first resort
installation, which is now over 1000 units.

Intuitive;
that's what sets Inntegrity™ apart. From the first
time you see the main menu expand and collapse menu choices,
it's immediately recognizable to a Windows® user.
The Inntegrity™ Maintain Reservations/Guest Screen is a very powerful and intuitive module. From this one screen you can search Reservations, Guests, Groups, Check Outs, Cancels, Repeat Guest History, Prospects, Condominium Owners or the Waitlist. Availability and Rates can be checked, a reservation can be made, a Deposit can be requested and applied, a room can be selected based on attributes and viewed, confirmations are scheduled to be E-mailed or faxed, credit cards can be authorized, A/R accounts can be reviewed, guests are checked in, charges are posted, guests are checked out. Revisions, additions or maintenance can be applied to the guest
account or the guest history record from this screen as
well. And that's without once returning to the menu.
Virtually all areas of Inntegrity™ can be operated with the keyboard or mouse; an important factor when trying to maintain a personalized level of service at the Front Desk. Mouse usage equals minimal eye contact between guest and clerk.
The

software can operate Multiple Locations at the
same
property, a
Resort with a Marina, for instance, as well as Multiple
Properties: Corporate/Convention Hotels, Resorts,

Web Site
Reservations – On-line
Real Time. If
your hotel has a Web Site on the Internet, a CSS Module can
interface your web site with the CSS Inntegrity™ Front
Office System allowing a potential guest viewing your web
site to check actual availability, make a reservation and
receive a confirmation, real time, while on line.
Current
Hotel Status
- accessible from several Front Office screens, offers a screen of vital, up to the minute data on the hotel’s
status: Check Ins and Check Outs Due, Current to Sell,
Projected Occupied/Available rooms,
Housekeeping Stats, Current and Projected Occupancy
and ADR.
Reporting
Functions in Inntegrity™
have been developed with the user in mind. Chose a
report menu option and print, or create the report the way
you want it with the "Select Report By" Query
Screen. You can then view on screen, print, or save
the report in a variety of formats; E-mail it in the format
of your choice to management.
CSS Dynamic Rate
Tiering
is a yield management tool designed by CSS and built
into the Inntegrity™
Front Office System. Based
on availability of particular room types per night, this
module automatically increases rates to be quoted by your reservationists.
The Dynamic Rate Tiering can be configured to
specific Market Codes and Packages as defined by management.
It is a cost effective solution to utilizing yield
management principles with minimal intervention and
monitoring by hotel personnel. Based on the hotel
occupancy over the length of the stay, rates
for each night can vary in the Dynamic Rate Tiering process.
The Rate Analysis screen allows you to quote the
actual rates presented, automatically
convert each night to the highest rate of the chosen
dates, automatically convert each night to the lowest rate of the chosen dates, or
display an average rate computed from all nights in the
stay.
If
a guest’s stay runs from weekday to weekend, or bridges
seasonal rate changes,
the Reservations Software will show the applicable rate
for each day. These split rates can be quoted as is, in
which case rates automatically change to the appropriate
rate during night audit, or the rates can be averaged during
the Reservation process in the Rate Analysis screen.
Special
Request Codes, established for available items requested by guests, can have a rate
attached to them. The
rate will post at the proper time and frequency during the
stay, first day, last day, middle days, all days or specific
day.
The Front Office software tracks inventory of Special
Request items such as Rollaways or Cribs.
Wait
List detail includes the Name, Company, Arrival and
Departure Dates, Room Type. Market Code and number of Adults
and Children. Inntegrity™
tracks the Wait List in the order of Date and time that it was recorded.
The
CSS Hotel Property Management Software tracks a wide array of personal history and
requested details for first time and repeat guests.
The initial reservation can include special request
codes plus detail preferences in free flow text to specific
departments, Food & Beverage or Housekeeping for
example. Remarks
and Notes can be collected on guests, company accounts and
groups in a variety of modules including Reservations,
Repeat History, Accounts Receivable and Accounts Payable.
If there are Remarks or Notes on a reservation or
account, red flags appears in the upper right of the screen.
All data is easily queried and retrieved.
CSS
Inntegrity™
handles Share
Reservations, properly with flexibility and accuracy.
All guests use their own name to check in or receive
messages, not a primary name holding the room.
Share guests can arrive or depart on different dates,
and rates will adjust properly to the number of people
registered in the room each night. Split the share, change
guestrooms, route transactions to specific folios, are all
handled correctly in the CSS Front Office System.
The
Inntegrity™ Resort Software
offers superior Package
Plan handling. Package
revenue allocation distribution can be set up in several
ways as defined by management. Each allocated item will post on the correct day of the stay
and to the correct department.
Only what’s suppose to be posted to the package
rate will be posted to the package rate... if a $20.00
dinner is included and the guest orders a $25.00 dinner, the
System will post the additional $5.00 separately.
Prospect
Brochure
Requests
can be entered from the availability screen. The
System will issue a prospect number and indicative personal
and company information can be entered as well as the
particular type of literature they are requesting -
honeymoon or golf package for example. The prospect is
then tracked, Labels can be generated, and
details of the requests can be printed for analysis
and follow up. Do
an independent
search on Prospects to allow the sales team to call them back on these brochure requests
at a future date. All
information gathered on the initial call can be transferred
directly into the hotel reservations software.
A
Group Master may
be set up for a Group, Tour Operator, Wholesaler or
Corporate Account to set rates, date ranges and optionally
room blocks. The
Inntegrity™
Hotel System will handle each appropriately – as group blocks or
track as individuals. For
example a Corporate Account can be set up from 1/1 until
12/31 and all stays for that Corporate Account are tracked
for the duration of the year.
Transactions
Routing
allows the hotel staff to control the routing of each
transaction charge type.
This can apply to individual charges of individual
guests or a Group Master can be set up to route all
attendees’ Room, Tax, Local Phone Calls, or any other
charges, to the Group Billing Account.
Group Masters
are held in Group Billing Accounts and all charges to be
routed to the Group Master will be posted to these billing
accounts throughout the stay or at check-out if you prefer.
The Group Billing Account does not need to occupy a
guest room for posting or transaction routing.
Extended stay hotels have unusual guest tax requirements. A
guest staying longer than 30 days (varies per state) becomes
exempt from paying some hotel taxes. Once this length of
stay is reached, the CSS Hotel Software will credit back the appropriate
tax to the guest account.
A
new hire training environment is easily setup in the system
utilizing a duplicate of your own hotel data.
This enables a Trainee to logon and work with
realistic data without jeopardizing live data.
